We are recruiting an Admin Officer to provide confidential and effective administrative project support to the team, maintain a client database, update records and carry out other administrative duties. To handle incoming referrals from other professionals and deal with queries from other service users in person and by phone:
Responsibility
To assist in managing the receipt, sorting, scanning and distributing incoming and outgoing posts.
Photocopy, filing, scanning and saving documents to appropriate client files. Maintained client files and management information systems, including paper-based and electronic, and kept the archive system following;
Qualification – Essential
* 3 GCSEs (A-C) or equivalent to include Maths and English
* NVQ Level 4 &/or relevant experience
* Advanced user –Microsoft Office, Word, Excel, Outlook, Social Media, MS Teams
Essential – Skills, Abilities & Experience
* Ability to work in a busy customer focussed environment
* Experience in dealing with the public over the phone and in-person
* Ability to cope with highly-sensitive issues, sometimes distressing, information when dealing with clients’
* Able to work quickly and accurately to deadlines
* Experience in maintaining efficient filing/retrieval/bring forward systems, ensuring planning, reminder and follow-up systems are in place as appropriate
* Excellent communication skills across different groups and organisations
* Ability to minute take accurate records of meetings and discussions
* Ability to arrange and coordinate meetings and events as necessary, including the preparation and distribution of agendas
* Experience in producing and distributing Personal Education Plans and all associated learning development plans
* Ability to work quickly and accurately and be able to adapt to changes in levels of workload and priorities
* Ability to work well within a team and also alone in a typical office environment
* Ability to follow specified processes to ensure consistent service delivery to all customers
* Excellent verbal and written skills
* Advanced MS Office skills in MS Word, Excel & Outlook, Publisher and experience in SRM, Social Media

* Three Years of Reference
* Enhanced DBS
* A pre-engagement screening is mandatory for this role
